**POSITION SUMMARY:**

Provides general and varied business and financial operations support to a center or centers at the Institute of Molecular Medicine under general supervision. Makes general to complex business process decisions requiring a comprehensive knowledge of a wide range of regulations, policies, procedures and business practices.

**POSITION KEY ACCOUNTABILITIES:**

1. Coordinates the day to day support system of assigned areas.

2. Regularly handles confidential information and sensitive issues.

3. Serves as liaison for center faculty for personnel action forms regarding: appointments, promotions, separations, salary increases and fund source changes. Ensures timely communication with IMM General Admin for processing.

4. Coordinates and schedules Human Resources activities, in coordination with IMM General Admin, including facilitating faculty recruitment.

5. Manages open encumbrances. Monitors expenditures and insures receivers are applied and invoices are processed in a timely manner and in compliance with University policies and processes.

6. Manages purchasing (including Buycard) for center(s) responsible to include entry, monitoring, receiving, reconciling and records management in compliance with University policies and procedures.

7. Manages travel processes for center(s) responsible to include arranging for travel, providing itineraries, obtaining approvals, processing reimbursements, reconciling and records management in compliance with University policies and procedures.

8. Assists with the preparation of contracts/grants and progress reports to include editing, creating figures, formatting, reference management, and coordination of submission.

9. Responsible for acquisition of documents needed to monitor adherence to grant or program requirements.

10. Creates and edits general correspondence and may maintain calendars/schedules for center director.

11. Maintains center(s) equipment and space inventories.

12. Creates and edits various communications materials for the center(s), which may include printed materials, web site content and/or center newsletters.

13. Generally serves as an administrative liaison with others within and outside assigned areas regarding business and financial issues on purchasing, personnel, facilities and operations.

14. Provides support for center hosted seminars.

15. Other duties as assigned.

**CERTIFICATIONS/SKILLS:**

Advanced working knowledge of standard Office Software such as Word, Excel, PowerPoint and Outlook is required.

Advanced working knowledge of University financial systems is preferred.

Strong communication and organization skills.

**MINIMUM EDUCATION:**

Bachelor's degree in business related field required. Equivalent level of education and/or experience may substitute for education requirement.

**MINIMUM EXPERIENCE:**

Three (3) years related work experience required.

Prior experience in finance, accounting, business administration or business management required.

**PHYSICAL REQUIREMENTS:**

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
